How do I manage membership applications?

Welcome to this practical guide! Find out how Klubaro simplifies the management of new registrations for your sports club.

Where do membership applications come from ?

There are two easy ways for prospective members to join your club :

  • By scanning your club’s unique QR code
  • By using the registration link specific to your club

How can I be informed of new requests ?

Klubaro keeps you informed in two ways :

  1. You will receive an e-mail notification for each new request.
  2. Requests appear in the ‘Waiting list’ section at the top right of your Klubaro dashboard.

Processing membership applications

Here’s how to manage requests effectively :

  1. Log in to your Klubaro space.
  2. In your dashboard, look for the ‘Waiting list’ in the top right-hand corner.
  3. Click on the applicant’s name to view their details.
  4. After examination, you have two options :
    • Click on the green icon to accept the request.
    • Click on the red icon to reject it.

Communication with applicants

Klubaro makes it easy to communicate with your future members :

  • As soon as the application is submitted, the applicant receives an e-mail informing them that their application is being processed.
  • If accepted, the new member (or their legal guardians if they are a minor) will receive a welcome e-mail. This e-mail contains your membership card with a unique QR code.

Flexible request management

  • Requests remain visible in the ‘Waiting list’ until they have been processed.
  • You can examine them at your own pace, with no time constraints.

Membership tracking

Your Klubaro dashboard gives you an overview of your memberships :

  • Total number of registrations
  • Number of active members
  • Membership growth indicator

This information makes it easy to track your club’s growth.

Tips for effective management

  1. Handle requests regularly to keep potential members interested.
  2. Use the information in the applicant’s profile to personalise your welcome if necessary.
  3. If the application is refused, consider contacting the applicant personally to explain the decision.
