How do I create and manage my calendar of courses and activities ?

Klubaro offers a complete solution for creating and managing your course and activity calendars. Here’s a step-by-step guide to help you make the most of this feature.

Initial configuration

  1. When you first sign up to Klubaro, you will be guided through a configuration wizard. This step is crucial for the initial set-up of your calendar.
  2. The assistant will ask you to enter your regular courses, their times and the days on which they take place.

View the calendar

Once the initial configuration is complete, you can access your calendar for an overview of all your activities :

  1. In the main menu, click on ‘Practice’.
  2. Select ‘Calendar’ from the submenu.

Klubaro’s calendar offers a number of practical features :

  • Multiple views : You can display your calendar in monthly, weekly, 4-day, daily or diary views.
  • Colour code : each type of activity is represented by a different colour for quick identification.
  • Easy navigation : Use the arrows or the date selector to navigate between periods.
  • Quick addition : The ‘+’ button in the bottom right-hand corner lets you quickly add a new event.
  • Information on click : Click on an activity to view its details or access the attendance page.

This calendar view lets you easily view all your courses and events, making it easier to plan and manage your club.

Add a new single event

To add a single event to the calendar :

  1. In the calendar view, click on the ‘+’ icon at the bottom right of the screen.
  2. Fill in the ‘New event’ form that appears :
    • Give the event a name
    • Select a date
    • Define the start and end times
  3. Click on ‘Add’ to confirm.

Add a new regular course

To add a new course (or regular activity) :

  1. In the ‘Practice’ menu, select ‘Activities’.
  2. Click on the ‘+’ button at the bottom right of the screen.
  3. Fill in the ‘Course Add‘ form.
    • Give the course a name
    • Define the period (start and end dates)
    • Select the days of the week when the course takes place
    • Indicate the timetable for each day
  4. Click on ‘Add’ to confirm.

Managing existing activities

For efficient management of your regular activities :

  1. Go to ‘Practice’ > ‘Activities’ .
  2. You will see a list of all your courses with the following information:
    • Name of activity
    • Days of the week when the activity takes place
    • Possible actions (modify, delete)

In this view, you can :

  • Modify an activity : Click on the pencil icon to adjust the details of a course (times, days, etc.).
  • Delete an activity : Use the bin icon to remove a lesson from the schedule.
  • Add a new activity : Click on the ‘+’ button at the bottom right to create a new recurring course.
  • Filter activities : Use the filter options at the top of the page to quickly find specific activities.
  • Plan the season : At the end of a season, you can easily duplicate your activities for the following season, avoiding the need to recreate everything manually.

This centralised management of activities allows you to maintain a consistent, up-to-date programme, while giving you the flexibility to adjust your offering to suit your club’s needs.

Tips for effective management

  • Check your calendar regularly to ensure that all courses and events are correctly scheduled.
  • Use the different calendar views (month, week, day) for greater visibility to suit your needs.
  • Don’t hesitate to add one-off events for special occasions or temporary changes to your schedule.
  • Update your regular activities at the start of the season to reflect any changes in your programme.
